Ark Veterinary ("Ark," "we," "us," or "our"), operated by MatrixFlow LLC, provides a cloud based veterinary practice management platform at arkcloud.vet. This Privacy Policy describes how we collect, use, and protect information when veterinary practices use our platform and when pet owners interact with our services, including receiving emails from us.
We collect the following types of information:
Pet Owner Information: Name, phone number, email address, mailing address, and other contact details provided during veterinary clinic intake or during pet portal signup.
Patient (Pet) Information: Pet name, species, breed, date of birth, weight, medical history, vaccination records, lab results, prescriptions, and clinical notes.
Communication Data: Records of emails we send, including appointment reminders, preventative care notifications, and boarding updates.
Payment Information: Payment transactions are processed through Stripe. We do not store credit card numbers on our servers.
MatrixFlow LLC runs one text messaging program, Ark demo texts, described in our SMS Terms. If you sign up on the Ark demo texts signup page, we collect your mobile number, your consent, the wording you agreed to, the date and time, your IP address and your browser type. We use your number only to send Ark demo texts and to honor STOP and HELP requests. Mobile numbers, text messaging opt in data and consent are never shared, sold or rented to third parties or affiliates for marketing or promotional purposes. Reply STOP at any time to opt out.
We use the information collected to:
Provide veterinary practice management services to clinics, send appointment reminders via email, send preventative care and vaccination due notifications, send boarding check in and check out updates, process payments for veterinary services, and generate clinical summaries and reports for veterinary staff.
We do not sell, rent, or share personal information with any third parties, affiliates, or partners for marketing purposes. The only disclosures we make are limited operational disclosures to vendors that process data solely on our behalf and under contract, as follows:
With vendors that process data strictly on our behalf and under contract to operate the platform (such as AWS for hosting, Twilio for message delivery, and Stripe for payment processing), and when required by law or to protect the safety of individuals. These vendors act only as processors at our direction and are not permitted to use the information for their own purposes or to share, sell, or disclose it.
Access by your veterinary practice: Authorized staff at your veterinary practice view and update your account and your pet's records inside the Ark platform in order to provide care. That access takes place within Ark under role based permissions and audit logging. It is a function of the platform, not a disclosure of your information to a third party. Your mobile phone number, text messaging opt in data, and text messaging consent are held by MatrixFlow LLC as part of Ark demo texts and are never transferred to a practice or any other party for that party's own marketing or promotional use.
Exclusion for text messaging data: Mobile information, text messaging opt in data, and text messaging consent will not be shared, sold, rented, or disclosed to third parties or affiliates for marketing or promotional purposes. This exclusion applies to every category of disclosure described in this policy.
We implement industry standard security measures including encryption in transit (TLS), encryption at rest, role based access controls, and regular security assessments. Our platform is hosted on Amazon Web Services (AWS) infrastructure.
We retain information for as long as your account is active, for as long as the veterinary practice you use maintains an active account with us, or as required by veterinary record keeping regulations. You may request deletion of your personal information by contacting us at ben@arkcloud.vet.
